Change requests within each activity allow you to define custom categories tailored to your team’s processes. A widget displays how long each request has remained open, helping you monitor progress.
This enables you to manage projects directly within CoE Manager, providing a holistic view of end-to-end process automation alongside project and program management capabilities, all within a single application. Change requests in the activity management experience are structured and actionable. The workflow includes additional fields to capture ownership, timelines, and context. Date fields are validated against the associated activity dates, with warnings if values fall outside the activity timeline.
Assignees automatically receive email notifications when a change request is created or its status changes, with any attached files included in these emails. These help enhance traceability, accountability, and readiness for future integration with standard project management tools within the activity management experience.
Create and manage change requests
- Add change request type for an activity.
- Navigate to the Opportunities Configurations tab.
- In the Change Request types section, click the Plus icon to add a change request type.
- The Parent field has the name of your CoE Manager instance by default.
- Provide the name and description for your change request.
- Click Create.
- Assign change request type to an activity.
- Select and navigate to an opportunity in Pipeline, In Progress, or Deployed stage.
- Click the Activities tab.
- Select and open an activity page.
- Click Create Change Request in the activity details page.
- Provide a meaningful name and description for the change
request.
Example: Increase scope to include PO matching.
- Provide a description, explain why the change is needed, what will
change, and if there is any business impact.
Example: Additional UAT needed due to intermittent data format issues; requires two extra business days.
- Select the change request type from the drop-down menu.
The change request types created in the Opportunities Configurations tab are displayed. Choose the option that best fits the request.
- Select the status of your change request from the drop-down
menu.
Typical statuses include Open, WIP, Closed, Discarded.
- Select the change request priority from the drop-down menu.
Use Critical, High, Medium, or Low to communicate urgency.
- Pick an Assignee from the drop-down menu.
This is the team member responsible for implementing the change. The assignee will receive notifications and must update the status and dates as work progresses.
- Provide the start date and due date.
- Start date: Planned start of the change work.
- Due date: Expected completion date.
- Set completion date after the change is finished.
This helps capture the actual finish date for reporting and audit trail.
- Click Create to save the change request.
- You can export the change request type list in excel or csv format by clicking the Settings icon in the Change Request types tab.
- You can bulk edit the change request type names.
