Automation Co-Pilot for Business Users v.33 release

Review what's new and changed, and the fixes and limitations in Automation Co-Pilot for the v.33 release.

What's new

New Hyperlink form element added to table design

Hyperlink has been added as a new form element type that you can select as a Column setting when designing a table column in Form Composer. You no longer need to use a text box to copy and paste a URL into a browser tab to add the hyperlink to a table.

See Using the Table element and Using the Hyperlink element.

Additionally, when building rules with a Hyperlink type of column, you can set the following conditions:
  • Is clicked
  • URL is changed

Line numbers automatically added to tasks in Process Composer

To enhance the readability and manageability of process automations (particularly in complex or lengthy workflows), Process Composer now adds line numbers to tasks automatically. With unique line numbers assigned to each task, you can easily reference, locate, and discuss specific parts of the process automation.

You can use this feature for prompt to automate, debugging, collaborative work, and maintaining clear documentation of the process flow. These visible line markers are consistent with how they work in the Bot editor.

Improved log in license messaging for end-users

To deliver a consistent end-user experience, these new error messages now display for the following users.
Non-Admin users without an Automation Co-Pilot license attempt to log in to:
  • Automation Co-Pilot Desktop
  • Automation Co-Pilot Embedded

Event trigger audit log enhancements (Service Cloud case ID: 02099424)

Audit log entries are now added to the Audit log page when you create or delete an event trigger.

Improved Task type filtering for logged-in users

To provide a more efficient and accurate filtering end-user experience for a logged-in user, the tasks that display on the Tasks page in Automation Co-Pilot now show the following:
  • Tasks of type Form, Approval, or Validation that are assigned to the user, and tasks that are unassigned to the user but assigned to a Role or Team to which they belong.
  • When the user clicks the Show only tasks assigned to me check box at the top of the Tasks page, only those tasks assigned to the logged-in user display.
Simplify navigation with business attributes

Business attributes enable easy navigation between various requests and tasks within Automation Co-Pilot. They can also be used for analytics (providing valuable insights) and for integration purposes (APIs and third-party applications). You can do this by setting up the business attributes in the Process Composer for Form Tasks.

For example, in an invoice approval process, if approval is required for any amount exceeding 5000 dollars, you can create a business attribute named Amount with the type Number. This allows the business users to quickly search and navigate to tasks that require approval.

What's changed

The shortcut name for the desktop icon has changed from AARI to Automation Co-Pilot:

Updated icon text

Enhanced user session management

Improved session management of Automation Co-Pilot users now ensures better tracking of the upcoming token expiry. Users' work is no longer disrupted by frequent logouts while working on tasks. If a user is active on the Automation Co-Pilot instance, an activity notification is sent to the Control Room, and the session time is extended in the background. The users can complete tasks without being logged out.

Enhancement to launching Bot Tasks locally from process
The following enhancements are made for executing Bot Tasks locally from process:
  • Control feature: Along with the bot execution progress bar, control options (play, pause, stop) are now displayed during bot execution, allowing users to manage automation execution.
  • Automation execution visibility: Bot execution controls and progress bar now displays directly within the Automation Co-Pilot window, rather than on the request creator's desktop. This change aligns with the method for running Attended automations directly from Automation Co-Pilot. The local Task Bot window is hidden from view, enabling full interaction within the Automation Co-Pilot interface.
Auto scroll to show process activity history of all created requests

The process activity history page shows history of all the requests created and is no longer limited to 10 historical requests. When new steps are added as part of request creation, auto scroll is enabled to automatically scroll to the bottom of activity history page. This allows the logged-in user to view all the automation execution history relevant for them and quickly determine the status of their automations.

Enhanced process status notifications

The process status notifications are now enhanced to include a request title and request ID that is more relatable to their application or process. This request ID and title are clickable hyperlinks for completed, failed, or canceled notifications which redirects user to their corresponding request page for more information.

Label change of Task sequence to Process Steps

To enhance user understanding and simplify terminology, the Task Sequence view has been renamed to Process Steps. This change aims to more accurately reflect the purpose of the view and make it easier for users to grasp its function.

Standardized label for bot and API Tasks

The labels for both bot tasks and API Tasks have been standardized in the Process Steps view. They are now collectively called Automated task. The previous segregation between Bot Task and API Tasks was an internal term and has been removed to streamline the user experience, as users are primarily interested in the outcome of the task.

Fixes

Fix for an issue where you could not create an Automation Co-Pilot request after updating to v.31 release for Cloud deployments. On-Premises deployments were fixed in the previous release.

The form renders the scroll bar correctly for the table element after you perform the following actions:
  1. Create a form and then drag table elements.
  2. Add at least five or six columns to the table.
  3. Create a process and then attach the form to the process.
  4. Run the process.
From the Add bot page, after you enter content to search for a bot, the Bot setup page correctly returns to its original state.
The Request visibility filter on the Teams page filters correctly and no longer displays "undefined" in the filter text.
The value in the Variable to be filtered: field of the Task: Filter package is no longer duplicated and retained when you perform the following actions:
  1. You use Insert a variable to add a value to the Variable to be filtered:field.
  2. Delete it by pressing the Backspace button, Ctrl+X, or the Delete button.
  3. Then insert a new variable again.

When using Process Composer, when you copy a form from a different process (where the new process contains many similar elements and rules to the former process), the new form now only applies and implements those rules it currently has. It does not apply validations from the original copied form.

Service Cloud case ID: 02114131

When you copy a table element in an Automation Co-Pilot form, the copied table element correctly maintains the same metadata structure.

Service Cloud case ID: 02100366, 02100415

When you choose the Select File download option in an Automation Co-Pilot form, the download link now displays the correct file and extension name and displays with a single download icon.

Service Cloud case ID: 02091631

The time lapse to navigate between Task Bot steps in Process Composer has been reduced.

Service Cloud case ID: 02088350

While making edits to a process in Process Composer, edits now persist when switching between nodes even without saving the actual process while editing. Variables that were mapped within a Go to action are no longer overridden.

Service Cloud case ID: 02117372

When embedding automations with Automation Co-Pilot, all assigned users now display correctly and are available from the Assignment drop-down instead of only the logged in user.
Badge notifications now update correctly to reflect the number of items in the Tasks Assigned tab. When tasks are assigned intermittently and the user navigates between tabs, the badge count will now display the correct number of tasks.

Previously, badge notifications were not updated until the Automation Co-Pilot was manually refreshed.

The Automation Co-Pilot Bot Insight dashboard now displays the correct data and it matches with the data in the Automation Co-Pilot dashboard overview.

Previously, there was a mismatch of data between Automation Co-Pilot Bot Insight dashboard and the Automation Co-Pilot dashboard overview.

Limitations

Automation Co-Pilot business users are logged out intermittently when idle session timeout is set to a longer period and when Automation Co-Pilot is used in multiple tabs for several hours.

Workaround: See Logout issues observed when working on single or multiple sessions (A-People login required)

If you use Process Composer > Create a Request Action inside an API Task, the action does not complete, and you will be unable to create the request. This occurs because the Browse button for selecting a Public process is disabled for API Tasks.

Workaround: Create a request using Process Composer API. See Process Composer API.
