Delete all action in Microsoft 365 Outlook package

Use the Delete all action in the Microsoft 365 Outlook package to delete read, unread, or all emails from a specific folder in Microsoft 365 Outlook inbox.

Settings

  • In the Microsoft 365 Outlook session field, click one of the following tabs:
    • Session name: to enter the session name that you have used in the Connect action.
    • Variable: to specify a session variable that can be used to share that session with other child bots.
  • Use the From specific folders field to specify the email folders from which you want to delete the emails.
    For example, Inbox/folder1; Inbox/folder2 or Inbox/test*.
Note: Microsoft 365 Outlook does not allow the use of wildcard entries (such as *) to run a search on folders. Ensure that you specify the folders individually in the From specific folders field.
  • Use the Status of email to delete field to select one of the following type of emails you want to delete:
    • Read: emails that are in Read status.
    • Unread: emails that are in Unread status.
    • Both: emails in Read and Unread status.
  • (Optional) Use the following fields to provide additional email filters:
    • Enter keywords from the email subject line in the When subject contains field for the emails you want to delete.
      • This field is not case sensitive.

For example, the search results are the same for 'Sales information', 'sALes Information' or 'SALES INFORMATION'.

      • An empty space is treated as a character.

For example, salesinformation will display different results as compared to sales information.

      • Enclose the Subject link in double quotes ("") for an exact match.

For example, use "July sales information" in the Subject line.

For more information, see How subject filter works when moving emails.

    • From specific senders: to specify the senders' email addresses.

For multiple senders, use semi-colon (;) to separate the email addresses.

    • Use the When the received date is on or after field to select a date after which you received the emails.

Click the Create variable icon if there is no existing variable.

    • Use the When the received date is before field to select a date before which you received the emails.

Optionally, you can also click the Create variable icon if there is no existing variable.
