Enable generative AI and other external connections to Document Automation

From Automation 360 v31, we have introduced a new section in the Control Room settings for enabling the generative AI and other external third-party connections to Document Automation.

The Document Automation Admin can enable or disable the connection settings to external services.
  • When you enable external connection, you can connect to generative AI LLMs, Google Document AI, Google Vision OCR, Anthropic, and Microsoft Azure OpenAI.
  • Enabling external connection setting is supported on Cloud and On-Premises. Support for On-Premises is available from Automation 360 v32 onward.

Prerequisites

Note:
  • You must upload a valid (operational and not expired) Cloud license to your tenant to use the GenAI feature in Document Automation. Contact your Automation Anywhere account representative for more information about this license. For more information, see the Cloud licensing FAQ and Understanding licenses in Document Automation.
  • You need not enable the external connection settings for Document Automation users using BYOL (bring your own license) connection services, as they will use their own service accounts. To use BYOL, open the extraction bot of your learning instance and configure the appropriate generative AI provider in the Additional settings section of the extraction bot. See Extract data action.

Enabling external connection for Cloud

The external connection setting is preconfigured for a Cloud environment as these settings are taken care of by the Document Automation Admin.

As soon as the Admin installs the Document Automation Cloud license, the external connection is enabled. This will enable users to connect to and use learning instances from external connections. If the setting does not get enabled, then the Admin would have to enable the toggle and select the region of service manually.

Follow these steps to manually enable the external connections settings for Cloud:

  1. As the Document Automation admin, log-in to your Cloud Control Room tenant and navigate to Administration > Settings > Document Automation Settings.
  2. Click Edit.
  3. Select the generative AI providers, extraction provider, and regions you want to use.
  4. Click Save.

    This completes enabling your external connections.

    Now, you will be able to create learning instances using Google Document AI, Google OCR, and the supported generative AI provider services.

Enabling external connection for On-Premises

Follow these steps to enable the external connections settings for On-Premises:
  1. Install On-Premises Control Room.
  2. Next, log-in to the Control Room as the Document Automation Admin and navigate to Administration > Settings > OAuth tab.
  3. See Access the AuthConfig App to generate the OAuth token.
    Note: If a No Access or Unauthorized error is displayed while logging into Apeople page or when logging into OAuth2 Config Application, contact Automation Anywhere support: Open a support case (A-People login required).
  4. Next, paste the token details from your clipboard, click Validate and Save changes.
  5. This ensures the registration is successful.
  6. Now navigate to Administration > Settings > Document Automation Settings.
  7. Click the Edit button.
  8. Select the generative AI providers, extraction provider, and regions you want to use.
  9. Click Save.

    This completes enabling your external connections to a selected region.

    Now, you will be able to create learning instances using Google Document AI, Google OCR, and the supported generative AI provider services.

After performing these one-time setup steps, a user would be able to process documents which uses the external services with a valid Cloud license.

What happens if the third-party connection is disabled in your tenant?

When this feature is disabled, you will see an error when you create learning instances using the Google Document AI, Google Vision OCR, Anthropic, and Microsoft Azure OpenAI services.
