Enable generative AI and other external connections to Document Automation

From Automation 360 v31, we have introduced a new section in the Control Room settings for enabling the generative AI and other external third-party connections to Document Automation.

The Document Automation Admin can enable or disable the connection settings to external services.
  • With this setting you can connect to generative AI LLMs, Google Document AI, Google Vision OCR, and Microsoft Azure OpenAI.
  • This setting is supported on Cloud and On-Premises. Support for On-Premises is available from Automation 360 v32 onward.

Prerequisites

Note: You must upload a valid Cloud license to your tenant to use the GenAI feature in Document Automation.

Ensure you have necessary permissions for a Document Automation Admin. See Document Automation users

Enabling external connection for Cloud

The external connection setting is preconfigured for a Cloud environment as these settings are taken care of by the Document Automation Admin.

As soon as the Admin installs the Document Automation Cloud license, the external connection is enabled. This will enable users to connect to and use learning instances from external connections. If the setting does not get enabled, then the Admin would have to enable the toggle and select the region of service manually.

Follow these steps to manually enable the external connection settings:

  1. As the Document Automation Admin, log-in to your Cloud Control Room tenant and navigate to Administration > Settings > Document Automation Settings.
  2. Under External Connections, turn on the toggle to Enable connections with external Google DocumentAI, Google OCR, and Microsoft OpenAI services option.
  3. Next, from the Third-party service server locations drop down, select a preferred region for your external services. Currently, US and EU are the only options available, and US is the default selection.

Enabling external connection for On-Premises

Follow these steps to enable the external connection settings for On-Premises
  1. Install On-Premises Control Room.
  2. Next, log-in to the Control Room as the Document Automation Admin and navigate to Administration > Settings > OAuth tab.
  3. See Access the AuthConfig App to generate the OAuth token.
  4. Next, paste the token details from your clipboard, click Validate and Save changes.
  5. This ensures the registration is successful.
  6. Now navigate to Administration > Settings > Document Automation Settings, and click the Edit button.
  7. Click External Connections to enable it, and select the relevant service location from the Third-party service server locations list and save your changes.
  8. This completes enabling your third-party connection to a selected region.
  9. Now you would be able to create learning instances using Google Document AI, Google OCR, or Microsoft OpenAI services.

After performing these one-time setup steps, a user would be able to process documents which uses the external services with a valid Cloud license.

What happens if the third-party connection is disabled in your tenant?

The connection could be disabled if you do not have a valid Cloud license uploaded to your Control Room tenant, or you could have missed enabling the connection. When this feature is disabled, you will not be able to do the following:
  • create learning instances using any of these services: Google Document AI, Google Vision OCR, and Microsoft Azure OpenAI services
  • create learning instances with GenAI-driven data extraction for unstructured and semi-structured documents
Note: This configuration setting is not required for Document Automation users using BYOL (bring your own license) connection services, as they will use their own service accounts.
