Check out a template

Professional developer or Citizen Developer, you can check out templates from the public workspace to the private workspace to create an editable copy of the template in the private workspace and make further modifications based on changes in your business scenarios.

After you have modified the template, you can check in the template again to the public workspace so that it can be deployed by all users who have permission to access it. You can choose the specific version of the template along with their dependencies during the check-out process.

Prerequisites

  • You must have a Bot Creator or Citizen Developer license to check out a template to your private workspace.
  • You must be assigned a custom role with the following permissions:
    • Check out permission at the folder level.
    • Check out permission on the dependency folders to check out a template with dependent folders and files.
    • To check out a template with dependent folders and files, you must have Create folder permission on the corresponding folders.

Procedure

  1. Log in to the Control Room.
  2. On the left pane, click Automation and then select Public.
    A list of available templates and automation is displayed.
  3. Check out either one template or multiple templates simultaneously:
    • Check out single template
      1. Select the template you want to check out, click the actions menu (vertical ellipsis), and click Check out Template.
        Note: If a template has multiple versions, you can select and check out the specific version of the template using Advanced options. This enables you to roll back to an earlier version of the template.
      2. In the Check out window, choose any one of the following options:
        Option Steps
        Yes, Check out Select this option to check out the latest version of a template. The dependencies are cloned automatically.
        Advanced options Select this option to select a specific version of the template and dependencies.
        1. Click Advanced options.

          The Check out file window opens.

        2. Version: Select the version of the template to check out, click the right arrow, and then Next.
        3. Check out Dependencies: From the Available dependencies, choose the dependencies to check out, and then click Next.
        4. Versions for dependencies: Select the version of the dependency to check out.
        5. Review other dependencies: (Overwritten, Missing, Cloned, or Skipped).
        6. Click Check out.
    • Check out multiple templates
      1. Select the templates you want to check out and from the table level icons, click Check out checked items.
      2. In the Check out window, choose any one of the following options:
        Option Steps
        Check out Select this option to check out the latest version of a template. The dependencies are cloned automatically
        Advanced options Select this option to review the information about the template and dependencies which can be checked out, skipped, or cloned and then click Check out.
        • The Files tab displays the available and selected files. You can add or remove files to check out.
        • The Checkout Dependencies tab displays the dependencies which you can choose to check out.
        • The Review dependencies tab displays information on the dependencies which are Overwritten, Missing, Cloned, or Skipped.
After you check out the template with its dependencies, it appears in the same folder structure in the private workspace. However, if you do not select the dependencies to be checked out, it will be cloned in your private repository.
