To create a license group, you must have the appropriate license management permissions. A license group provides an organized way to manage and assign licenses across different departments and vendors, ensuring that each group has clear visibility into their assigned licenses, including detailed information on usage, expiration dates, and renewal schedules.

By grouping licenses, you ensure that the Control Room instances can operate within a defined context, where each Control Room is linked to a specific group and can only access the licenses assigned to that group. As a license administrator you can maintain a control over licensing, prevent over-subscription, and ensure that each license group operates independently.

Prerequisites

Ensure that you have a license key or a GUID.
Note: The initial license key used to create an account is referred to as the parent GUID. Multiple additional license keys (GUIDs) can be associated with the parent GUID to form license groups. However, subgroups, even with license management permissions, cannot create nested groups.

If no subgroups are created, the licenses will remain associated with the parent GUID until groups are formed.

Procedure

  1. Navigate to Administration > Licenses.
    With the Enterprise Platform license and the license management permissions, you can see the Main Group and the Group Distribution tabs displayed by default when you log into the Control Room. The Main Group tab displays a list of licenses that are available in the Control Room.
  2. Click Group Distribution to create a license group and to distribute the purchased licenses to different departments or partners.
  3. Click Create Group. A Create Group page is displayed where you can create a license group by adding the available licenses.Create a license group
  4. Enter the Group Name and optionally enter the Description.
  5. From the Feature Licenses section, select the type of license that you want to assign to this license group.
    • If the license is part of Automator AI license, move the Intelligent Automation - Automator AI radio button to the right.
    • If the license is part of Enterprise Platform license, move the Enterprise Platform radio button to the right.
    • If the license is part of both Automator AI license and Enterprise Platform license, move both the radio buttons to the right.
  6. Select one or more Control Room instances to which you want to allocate the available licenses from the list displayed and add the license key (GUID).
  7. Select the available licenses and add them to the license group that you have created.Group distribution license page
  8. After you have created a license group, the Account Utilization tab is displayed. Account utilization tab
    The Account Utilization tab lists all the accounts that you have created using the license keys (GUIDs). This tab contains the following columns for displaying the license information:
    • Licenses: This specifies the type of license purchased by the specific license account.
    • Total Purchased: This specifies the total number of licenses the license account has purchased.
    • Reserved for Groups: This specifies the number of license out of the total purchased licenses which are reserved for license groups.
    • Total Used: This specifies the total licenses used by this account.
    • Total Unused: This specifies the total licenses remaining (unused) for this account.
    As a license administrator, you have the following CRUD (Create, Read, Update, Delete) capabilities for managing licenses:
    • Create: You can create a license.
    • Read: You can view a license.
    • Update: You can modify the license type.
    • Delete: You can delete a license
