License group management
As a license administrator (a user with license management permissions), you have access to detailed license information for customer accounts within the Control Room. License group management provides you a granular approach to license management, one that provides better control over allocations, visibility, and usage limits across different departments or teams within a customer's organization.
In the legacy licensing management behavior, all licenses for a customer were pooled into a single license group. This structure provided the license administrator with a unified view of all licenses, making it easier to manage and track the total license count. However, this approach came with significant challenges.
One of the challenges was that the departments or groups within the customer's organization could access and view all licenses, regardless of their allocated share. This centralized visibility allowed these departments to potentially request or access more licenses than their actual allocation, leading to inefficiencies and overconsumption. There was a lack of ability to restrict or allocate licenses to specific departments or teams, with no control over how many licenses were being consumed by each group. As a result, departments would inadvertently or intentionally exceed their license limits. This lack of granular control meant that the license administrator had limited oversight and could not implement restrictions to prevent excessive usage or ensure that license allocations were being adhered to.
Furthermore, with all licenses pooled together, it was hard to distinguish how many licenses were being used by each department or team, complicating allocation and usage tracking. This lack of transparency made it difficult to optimize the customer's overall license usage.
License group management ensures that despite providing an overall visibility to all the license details, as a license administrator you could create groups to restrict the access and visibility to the Control Room instances linked to a specific license key (GUID). This means a department or group, created using a license key (GUID) only views and accesses licenses assigned to that group or department. License allocation, consumption, over subscription, and expiration are all restricted to the license group. This ensures that the departments can only use licenses designated to them. Users can create group entitlements with any license type by assigning at least one GUID or license key to each of the entitlements.
This solution simplifies license allocation for the administrator. With the license management permission and Enterprise Platform license, an authorized user can view, create, edit, and delete license groups in the Control Room. Additionally, to manage license data across groups, Main Group, Account Utilization, and Group Distribution tabs have been added in the user interface when you navigate to .
