You can recover the bots and files created in the private repository of a deleted user (Bot Creator or Citizen Developer) and transfer them to an existing user's repository. When users leave the organization, the automations they created are not lost and can be used by other users.

Prerequisites

  • You must be logged in to the Control Room as an administrator or a user with Recover bots permission.
  • You must have View Users and Roles basic information permission.
  • The target user must have the following permissions for the folders that are being transferred:
    • Clone
    • Check in
    • Check out
  • The target user must have the same folder level permissions as the deleted user.
  • The target user must be logged in and out of the Control Room at least one time before the recovery process activity.
  • The target user must have an empty private repository.

The recovery process is a one-time activity. Once you have transferred the bots and files from a deleted user, you cannot recover the private repository of the same user again.

Important: When you delete a bot, you cannot recover it from either the Public or Private workspace. Hence, ensure that you no longer need a bot before deleting it.

Procedure

  1. Log in to the Control Room as an administrator.
  2. Navigate to Automation page.
  3. Click Manage bots > Recover.
  4. In the Recover bots and files page, select the deleted user whose private repository you want to recover and click Next.
  5. Select the target user and click Next.
  6. Provide a meaningful name for the recovery.
  7. Click Recover bots and files.
    • The private repository of the deleted user is replicated in the private repository of the target user using the same folder hierarchy.
    • These automation details are retained: name, status (New, Cloned, Checked out, and Checked out and edited), source versions, code analysis results, size last modified, and modified by.
    • The audit log will contain details of the deleted user, new user, and the list of bots and files that are transferred.
