Knowledge management in Amazon Q with Automation Co-Pilot enables you to organize, secure, and make your enterprise documents easily searchable through conversational interfaces. Folders allow for efficient content organization and the application of role-based permissions, ensuring secure access for designated roles.

Administrators can create folders, upload documents, and sync content with the main storage system, enabling business users to query data seamlessly. They can also assign documents to roles, monitor storage utilization, and adjust storage to optimize index capacity. This approach ensures a secure, scalable, and well-organized knowledge management system.

Note: By default, your Control Room is allocated with 200 MB of Conversational Index Memory. Depending on your purchased quantity, you can allocate additional capacity by increasing the total capacity allocated in Administration > Settings > Automation Co-Pilot for Business Users > Conversational Index Memory in the Control Room.

Prerequisites

You must have Enterprise Platform license.

Procedure

  1. Create a knowledge base admin user and assign role in the Control Room.
    1. Create a custom role and assign the following permissions:
      • Manage AI Knowledge
      • View roles > Manage roles
      • View settings > Manage settings
    2. Create a user, assign Conversational Automation Co-Pilot User license and the custom role you created.
      The user created can now access the AI Knowledge page in the Automation Co-Pilot interface that is required to create folders and upload files to the knowledge base.
  2. Create folder and upload files.
    1. Log in the Automation Co-Pilot as an administrator or as the knowledge base admin user.
    2. Navigate to Manage > AI Knowledge page.
    3. Create folders under the Root folder by clicking the plus icon next to it.
      Note:
      • Ensure your folder name has 255 characters or less.

    4. Click to open the folder you created.
    5. Click Upload > Add files.
    6. Browse and select the files to upload and click Upload.
      Note:
      • Files can only be uploaded into folders created under the root folder; direct uploads to the root folder are not permitted.
      • You can upload one or multiple files at a time.
      • While uploading files, do not move away from the page until the upload is complete.
      • The maximum file size you can upload is 50 MB per file.

      The selected files are uploaded into the folder.
  3. Assign folder to the role and sync files.
    1. Click the action menu (vertical ellipsis) next to the folder you want to assign roles to and select Manage Roles.
    2. Select the roles you and click Save changes.
      Users associated with this role now have access to these files and can query the information within them.
      Note: After roles are applied, the changes might not appear in the table immediately. Refresh the page after a few seconds and click refresh the table to view the newly assigned role information.
    3. Click Sync files to sync the uploaded files with the Q index.
      Note: Whenever roles are added or removed from a folder, you must sync the files for the changes to take effect and be reflected in the chat experience.
  4. Optional: To free up capacity in your knowledge repository, select Delete from the action menu (vertical ellipsis) and confirm deletion.
