Best practices for activity creation

Keep the following guidelines in mind while creating activities for an opportunity.
- Break work into clear, actionable activities.
- Create activities that represent meaningful units of work, such as automation build, UAT, deployment, or business sign-off. Avoid making activities too broad or too vague. Well-defined activities make it much easier to track progress and ensure accountability.
- Use activity type and status consistently.
- Select activity types thoughtfully so activities can be accurately grouped and reported. Keep statuses up to date as work progresses, as these directly impact the on track, at risk, and off track indicators in the summary tiles. Consistent status updates ensure the dashboard accurately reflects the true health of the opportunity.
- Maintain accurate start and due dates.
- Set realistic start and due dates when creating activities and update them as timelines change. Accurate dates ensure activities are displayed correctly on the timeline view, helping stakeholders quickly understand delivery schedules and dependencies.
- Review the timeline regularly.
- Leverage the week, month, quarter, and year views to assess progress at various levels. The month and quarter views are particularly helpful for identifying overlaps, delays, or gaps in planning throughout the automation lifecycle.
- Keep the activity list current.
- Close or mark activities as completed as soon as work is finished and remove any activities that are no longer needed. Maintaining a clean and up-to-date activities tab improves visibility, reduces confusion, and helps trust the status summary at the top of the page.
