Release an offline license - Release an offline license to de-board an On-Premises Control Room from the License Server (LS) and reallocate its reserved license counts back to the parent account. You can release a license when decommissioning a Control Room , migrating to a new virtual machine, or reallocating license counts to another Control Room .

Release an offline license to de-board an On-Premises Control Room from the License Server (LS) and reallocate its reserved license counts back to the parent account. You can release a license when decommissioning a Control Room, migrating to a new virtual machine, or reallocating license counts to another Control Room.

Before you begin

  • You have administrator access to the Customer Account and License Management (CALM).
  • The Control Room you want to de-board is accessible and you can generate a new License File Request (LFR) from it.
  • You have identified the Control Room GUID associated with the license you want to release.
Note: If the Control Room is no longer accessible (for example, the system was destroyed or the VM is unrecoverable), you cannot generate an LFR and the standard release process does not apply. In this case, contact Automation Anywhere Support to de-board the offline license file (OLF) without an LFR input. Support uses an admin utility to remove the existing License Server entry so that a new LFR can be generated and a new license file can be created for the Control Room.

About de-boarding an offline license

When an offline license is configured for a Control Room, the License Server (LS) reserves a set of license counts exclusively for that Control Room's GUID. No other Control Room or Cloud license within the same account can use those reserved counts.

Releasing the license (de-boarding) performs two actions:
  • Frees the Control Room GUID so it can be reused or reassigned.
  • Returns the reserved license counts (for example, Bot Creators and Bot Runners) to the parent account, adjusted for actual consumption recorded in the LFR (volume license consumption). Only the unconsumed counts are freed and made available for reallocation to another Control Room or a new license file.

Procedure

  1. Log in to the Control Room that you want to de-board.
  2. Navigate to Administration > Licenses.
  3. Generate a new License File Request (LFR) from the Licenses page. See Request and install an offline license.
    Note: The LFR must be a new one generated specifically for this release. A previously used or expired LFR will not be accepted by CALM.
  4. Log in to CALM and navigate to the Manage Cloud Licenses section.
  5. Under Control Room Guids, select the GUID that you want to de-board.
  6. Click Upload LFR and upload the new LFR created in step 3.

    Note: CALM validates the uploaded LFR against the selected Control Room GUID. If the LFR does not match the GUID on record, the release will fail. Ensure you upload the LFR generated from the specific Control Room you are de-boarding.
  7. Click Release License.

    Note: The CALM interface displays two options for each license entry: Configure and Release License. Configure License is used to create or edit a license file. Release License initiates the de-board process.
  8. Select Accept to confirm the release.
    Note: After releasing the license, you can uninstall the Control Room.

Results

The offline license is now released. After a successful release:

  • The Control Room GUID is freed and no longer appears as an active licensed instance.
  • The reserved license counts are returned to the parent account and are available for reallocation.
