Automation 360

Add a Process Task to a process automation to launch a sub-process, transfer data between the main process and the sub-process, and assign the task to a role, team, or variable.

Procedure

  1. From the Tasks panel, drag the Process task element onto the canvas at the point in your process where you want to call the sub-process.
    Process properties panel
  2. In the Task: Process properties panel, enter a unique identifier in the Element ID field. This value is used internally during design and must be unique within the process. It is not visible to end users at runtime.
    Example:: process-invoice-review.
  3. Optional: Enter a display name in the Task name field. This name appears as a reference during process execution.
Example: Invoice review. To use a variable as the task name instead: select
    1. Select (x) next to the Task name field.
    2. Select a variable source: Variable or Element.
    3. For Variable: Select the Variable type.
    4. For Element: Select the source variable and then select the variable type (Input, Output, or Meta).
    5. Click Insert.
  4. Click the Hide this task after completion check box.
After task completion, the Process task is not displayed to the user in the web interface.
  5. In the Process field, click Choose to browse and select the sub-process. Example, Invoice_Review_v2 from the Private folder.
The input variables for that sub-process appear under Input values after you select it. Map each input variable to a value or variable from the current process.
  6. Under Task assignment section, select how you want to assign the task:
    • Role: Select Choose, search for the role, and then select it. Example, select the Finance Approvers role to route the task to everyone in that role.
    • Team: Select Choose, search for the team, and then select it. Example, select the AP Team to route the task to that team's queue.
    • Variable: Select (x), choose a variable source and a variable of type user group, and then click Insert.
  7. In the Data privacy tag (optional) field, enter a text value or variable to generate a hidden custom output field used for data privacy searches. This field is used only as a hidden field that can be searched for data privacy purposes. Variables are populated at runtime.
  8. In the Annotation (optional) section, enter the text note to document the business purpose or logic of the Process task. Example, Calls the invoice review sub-process. Requires Finance Approvers role to be configured in the tenant. For more details about annotations, see About annotations.
  9. Click Save.
You have now configured the Process Task in your Process Composer process automation.
